OneDrive allows users to access Office 365-based files and folders from a personal OneDrive folder or a shared company document library. This guide outlines the steps for signing into OneDrive and syncing a shared document library.

Installing OneDrive
For Windows 10
- The OneDrive client is pre-installed and can be accessed via:
- The System Tray (bottom-right of your desktop).
- Appears grey with a strikethrough if not logged in.
- Windows Search (search for "OneDrive").
- The System Tray (bottom-right of your desktop).
For Windows 7
- Download the OneDrive client from: Microsoft OneDrive Download.
Signing into OneDrive
- Open the OneDrive application.
- Enter your Office 365 email address and sign in.
- During setup:
- You may be asked where to save OneDrive documents.
- A quick overview of OneDrive functionality will be provided.
- Once logged in, access your personal OneDrive documents via:
- The Open Folder button in the system tray.
- The OneDrive folder in File Explorer.
Sync Icons in OneDrive
- Cloud icon: File is stored in the cloud.
- Cloud + PC icon: File resides in the cloud and temporarily on the PC.
- Green tick: File resides permanently on the PC (use Always Keep on This Device).
- Circular arrows: File is syncing to/from the cloud.

Red X: File is in an error state.
- For details, click the OneDrive icon in the system tray.
Syncing a SharePoint Document Library
- Log into Office 365 via a web browser.
- Navigate to the SharePoint document library you want to sync:
- Access SharePoint from the menu in the top-left corner of Office 365.
- Look for the Sync button in the document library toolbar:
- If missing, ensure document library syncing is enabled or try a different browser.
- Click Sync and then Open when prompted to allow OneDrive to open.
- Select the folders you want to sync:
- By default, OneDrive uses Files on Demand to intelligently manage disk space.
- Once synced:
- A separate OneDrive folder with a building icon will appear in File Explorer.
- This folder contains all synced SharePoint document libraries.
